Rental vs buy · The real numbers

The sticker price
is never what
you actually pay.

A R60 000 printer costs far more than R60 000 by year five, and a R1 200 monthly rental is not always the cheaper path either. This page breaks down the true total cost of ownership (TCO) of office printing for South African businesses: toner, servicing, downtime and depreciation included, with honest maths on both sides.

01 · The hidden costs

Six costs the sticker price hides.

When finance teams compare a purchase price to a rental fee, they are usually comparing half the picture to the whole one. These are the costs that surface after the machine is on the floor.

01

Toner & consumables

An office printing 5 000 pages a month can spend R2 000 to R4 000 monthly on toner alone at retail prices. On rental, it is inside the fee.

02

Service callouts

Out-of-warranty repairs run R1 500 and up per incident, plus parts. Two or three callouts a year is normal for an ageing machine.

03

Downtime

A dead printer in a law firm or medical practice stalls filings, records and dozens of staff. Nobody budgets for it. Everyone pays it.

04

Depreciation

A purchased machine loses most of its value within 5 years and then needs replacing, another capital event your budget must absorb.

05

Capital opportunity cost

R60 000 sunk into a printer is R60 000 not working in stock, staff or marketing. Rental keeps that capital in the business.

06

IT admin time

Driver issues, toner orders and supplier wrangling quietly consume hours of internal IT time that a managed plan absorbs.

Calculating the total cost of ownership of an office printer
02 · A worked example

The 5-year maths on a mid-size office.

Take a 15-person Gauteng office printing 5 000 pages a month on an A3 colour multifunction printer. Buying looks cheaper on day one. By month 60, the picture is usually much closer than expected, and the difference is what your business does with the capital and the risk in between.

  • Buying: roughly R60 000 upfront, plus R2 000 to R4 000 monthly in toner at retail
  • Add servicing: R1 500+ per callout, or a service agreement on top
  • Add replacement risk: the asset is near end of life by year five
  • Renting: an all-inclusive fee typically between R950 and R2 200 monthly
  • Rental payments are typically fully deductible as an operating expense
03 · Which path fits

The questions finance teams ask.

Ask us anything
Over 5 years the totals often land closer than expected. Buying is usually cheaper on paper if volumes are stable and nothing breaks, but that saving carries the risk: toner at retail prices, repair bills, downtime and replacement cost all sit with you. Renting costs slightly more in total but converts printing into a fixed, all-inclusive operating expense with zero capital outlay. The right answer depends on your cash flow and risk appetite, which is why we quote both.
